Last Updated: 7-5-26
KidOps360 respects the privacy of childcare providers, staff members, parents, guardians, and children whose information may be entered into or managed through our platform. This Privacy Policy explains how we collect, use, share, and protect information when you use KidOps360 websites, applications, software, and related services.
By using KidOps360, you agree to the practices described in this Privacy Policy.
1. Who We Serve
KidOps360 is a childcare operations platform designed for childcare centers, preschools, after-school programs, and similar organizations. Our services may be used by administrators, employees, parents, guardians, and authorized users connected to a childcare program.
In most cases, childcare providers are responsible for deciding what information is entered into KidOps360. KidOps360 acts as a service provider that stores and processes that information on behalf of the childcare provider.
2. Information We Collect
We may collect the following types of information:
Account Information
This may include names, email addresses, phone numbers, usernames, passwords, roles, permissions, and organization details.
Child and Family Information
Childcare providers may enter information such as child names, birthdates, classroom assignments, attendance records, authorized pickup contacts, allergy or medical notes, enrollment details, schedules, emergency contact information, and parent or guardian information.
Staff Information
Childcare providers may enter staff names, contact information, schedules, assigned classrooms, attendance records, time records, training information, or other employment-related operational information.
Billing and Payment Information
KidOps360 may process or display tuition, invoices, account balances, payment history, credits, and related billing information. If online payments are accepted, payment card or bank information may be handled by a third-party payment processor. KidOps360 does not intend to store full payment card numbers unless clearly stated and handled through compliant payment systems.
Communication Information
We may collect messages, notifications, announcements, support requests, and other communications sent through the platform.
Technical and Usage Information
We may collect device information, browser type, IP address, login activity, pages or features used, error logs, and other information needed to operate, secure, and improve the platform.
3. How We Use Information
We use information to:
-
Provide and operate the KidOps360 platform.
-
Manage attendance, enrollment, billing, reporting, scheduling, communication, and childcare operations.
-
Allow childcare providers to communicate with families and staff.
-
Maintain account security and user permissions.
-
Provide customer support.
-
Improve platform performance and reliability.
-
Detect, prevent, and respond to fraud, abuse, security incidents, or technical issues.
-
Comply with legal obligations.
We do not sell child information.
4. Child Information
KidOps360 is designed to support childcare providers and families, not to market directly to children. Child information is entered by childcare providers, parents, guardians, or authorized users for childcare-related purposes.
We use child information only to provide the services requested by the childcare provider and authorized users. We do not use child information for behavioral advertising or unrelated marketing.
Parents or guardians who want to review, correct, or request deletion of their child’s information should contact their childcare provider first. Because the childcare provider controls much of the information in KidOps360, we may direct requests back to the provider when appropriate.
5. How We Share Information
We may share information in the following limited ways:
With Authorized Users
Information may be visible to childcare administrators, staff, parents, guardians, or other authorized users based on permissions set by the childcare provider.
With Service Providers
We may use trusted vendors for hosting, data storage, payment processing, messaging, analytics, customer support, security, and other services necessary to operate KidOps360. These providers are only allowed to use information as needed to provide services to us.
With the Childcare Provider
Information connected to a childcare center or organization may be available to that provider’s authorized administrators.
For Legal or Safety Reasons
We may disclose information if required by law, regulation, court order, subpoena, government request, licensing requirement, or when necessary to protect rights, safety, users, children, or the integrity of the platform.
Business Transfers
If KidOps360 is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate privacy protections.
6. Data Security
We use reasonable administrative, technical, and physical safeguards to protect information. These may include access controls, encryption where appropriate, secure hosting, authentication tools, activity monitoring, and internal permission limits.
No system can be guaranteed completely secure. Users are responsible for keeping login credentials confidential and using strong passwords.
7. Data Retention
We retain information for as long as needed to provide services, comply with legal obligations, resolve disputes, maintain records, and enforce agreements.
Childcare providers may control how long certain records are kept in the platform. When an account is closed, we may retain certain information for a limited period as needed for backup, legal, billing, security, or compliance purposes.
8. User Choices and Access
Authorized users may be able to review or update certain account information within KidOps360.
Parents or guardians who need to access, correct, or delete child information should contact their childcare provider. If a request is sent directly to KidOps360, we may verify the request and work with the childcare provider as appropriate.
9. Communications
We may send administrative messages, security alerts, billing notices, product updates, or support communications. Some messages are necessary for the operation of the service and may not be optional.
Childcare providers may also send messages to parents, guardians, and staff through KidOps360.
10. Cookies and Similar Technologies
KidOps360 may use cookies, local storage, or similar technologies to keep users logged in, remember preferences, improve security, analyze performance, and operate the platform.
Users may adjust browser settings to limit cookies, but some features may not work properly without them.
11. Third-Party Services
KidOps360 may connect with third-party services such as payment processors, messaging providers, email services, hosting providers, or other operational tools. Those third parties may have their own privacy policies and security practices.
We are not responsible for the privacy practices of third-party websites or services that are not controlled by KidOps360.
12. State Privacy Rights
Depending on your location, you may have certain rights regarding your personal information, such as the right to access, correct, delete, or receive a copy of certain information.
To make a privacy request, contact us using the information below. We may need to verify your identity and may direct requests related to childcare records to the childcare provider that controls the account.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the “Last Updated” date above. If changes are significant, we may provide additional notice through the platform, by email, or by other reasonable means.
